If you take part in the Roundhouse youth programme the Roundhouse Privacy Policy applies. This overview provides information on how young people’s data is used specifically.
What information do we collect and why?
From young people using our services:
- Name, address, postcode
- To identify individuals who are using our services. We can see how often they visit the Studios and what activities they take part in. This helps us make improvements, access funding and make better use of resources. It informs our programme planning. It also enables us to show we are meeting targets set by funders, in particular the Arts Council England.
- Date of birth
- To check age eligibility for youth programmes.
- Medical Conditions
- To enable us to act quickly in an emergency if someone needs first aid and is unable to easily communicate.
- Next of kin name and contact
- To enable us to quickly get in contact with anyone over the age of 18 in an emergency. For those under the age of 16 accessing the Creative Studios for the first time, we also may call an emergency contact to verify consent that you can access the space.
- Phone number
- So we can contact individuals by call or text for reasons such as project notices, responding to personal support requests, lost property and other day-to-day projects issues. Phone calls and text messaging are also regularly used for providing information, advice and guidance to support young people on our projects
- Email address
- So we can send occasional emails to let people know about programme updates and/or changes.
- Gender, ethnicity, disability status, access needs
- We need information about your access requirements so that you can safely use the building and we can make that easy for you. We would also like to know about your gender and ethnicity at this stage. This is because we deliver projects that develop skills and opportunities to enable you to thrive in the arts. However we know that the creative industries is under-represented by people from Global Majority and there are gender imbalances across the sector. We want to help to change this and therefore we need to record the number of people from different backgrounds taking part in our activities. It is also a requirement of most funding bodies for us to provide this information. All data is aggregated and anonymised. There is always a prefer not to say option.
- Religion, sexual orientation, employability status, health conditions, neurodivergence, socio-economic background
- For young people working with us on intensive programmes (seven or more sessions), we would also like to know other things about you. This is to help us to record the number of people from different backgrounds taking part in our activities and to address under-representation. We want all young people to feel like they belong here. All data is aggregated, anonymised and provided on a voluntary basis. There is always a prefer not to say option.
- School / Youth organisations
- To ensure that we engage with young people from all Camden schools and youth organisations, we will arrange additional outreach work if we see that any school or community group is under represented.
Who sees your information?
The only people who will see your information are employees or people contracted by Roundhouse who have been suitably DBS checked (Basic or Enhanced Children’s Disclosure and Barring Service) and trained in how to handle your information safely, securely and confidentially.
What is the legal basis for collecting your information?
We collect information about young people with consent and we will always use it in a way that is fair and lawful under the General Data Protection Regulation 2018 (GDPR).
We collect information required for the booking and delivery of our youth services.
Note that we will not share information about you without your permission unless we are legally required to do so.
