Conditions of sale

  • Tickets for youth programmes can be refunded with a minimum notice of 48 hours. You can be refunded back to the payment method you used, or credit can be added to your Roundhouse account.
  • If your digital ticket is lost, we will make every effort to confirm your order. You can email us in advance at studios.admin@roundhouse.org.uk or speak to a member of staff on the day of the event. 
  • The Roundhouse reserves the right to make alterations to the advertised programme at any time and without advance notice.
  • If an event is cancelled, we will return the total value of your order.
  • In the occurrence of an event being rescheduled, you will be contacted by the Roundhouse youth team to confirm if you are able to attend the rescheduled date. If you are unable to make the rescheduled date, we will refund the total value of your order. 
  • There are age range eligibility requirements for every youth programme at the Roundhouse. We may also have other eligibility requirements for certain programmes, which will be clear at the application / enrolment stage. 
  • Date of birth / age is mandatory when enrolling onto a youth programme. We may ask for proof of age via a photographic ID upon arrival at the Roundhouse. 
  • Tickets must not be sold for profit or commercial gain by any outlet other than the Roundhouse.
  • A valid ticket must be produced to get into all events for which we issue digital tickets. Removing any part of, altering or defacing the ticket may invalidate your ticket.
  • For youth programmes with no digital tickets, you will be required to sign in at Studios Front Desk or Roundhouse Reception on Regent’s Park Road. 
  • It is your responsibility to check your order / tickets to ensure they are correct and contact us immediately if there is a mistake. The Roundhouse will not be responsible for any issues that occurred as result of the booker’s mistake. Any known issues with your order that have occurred as a result of the venue will be communicated to you as soon as reasonably possible.
  • An order is confirmed once you have received online confirmation and an order confirmation email. We will get in touch to let you know if there are any issues with your order and will proceed to help rectify this for you, subject to availability.
  • If we discover an error in the price of the tickets you have purchased, we will endeavour to inform you as soon as possible to reconfirm your order at the correct price. If you are unable to reconfirm the order at the correct price, we will issue you with a full refund. If we are unable to contact you via the contact details provided, we will treat your order as cancelled and refund you.
  • Tickets to youth programmes are restricted to one per person. If you are a parent / guardian enrolling more than one child onto a youth programme, you will have to buy each place separately. 
  • Any queries regarding the terms and conditions of sale should be raised with the Roundhouse prior to the purchase of tickets, please email studios.admin@roundhouse.org.uk
  • Failure to comply with these Terms & Conditions will make your ticket and transaction void.

 

Creative Studios Membership

  • If you have activated your membership, then we cannot refund it. Your membership can be activated in person at the Creative Studios front desk, after your proof of age via photo ID has been verified by a Youth Worker.
  • If you have not activated your membership, we can refund it within three months of the original purchase date. 
  • Please inform us within 45 minutes of your booking start time if you are running late or need to cancel. You can email studios.bookings@roundhouse.org.uk or call 0207 424 6782 (during opening hours).
  • If we don’t hear from you within 45 minutes, your booking will be cancelled so someone else can use the room.
  • You can get a full refund on your room booking if you cancel with at least two days (48 hours’) notice. Unfortunately we cannot offer refunds with less than 48 hours’ notice.
  • Failure to notify us within the 45-minute window three times will result in a two-week pause on your Studios account. During this pause, you cannot use the Studio rooms (either as a booker or guest).
  • Bookings already made during the pause period can be refunded if they are more than 48 hours after the pause starts.

Roundhouse Works Membership

  • Membership can only be confirmed by the Roundhouse Works team after a successful application and tour of the space.
  • You may only use the Workspace once you have attended the compulsory induction session and completed all onboarding and membership agreement forms.
  • The membership categories – Monthly Memberships, Bundle Memberships and Resident Membership – include the facilities listed for each one and are explained in the Roundhouse Works brochure. 
  • Memberships start with an initial six-month term and can be renewed for another six months, for a total of up to 12 months.
  • The monthly membership fee is charged in advance on the first of each month during the membership.
  • After the initial commitment period, you can cancel your membership at any time by giving notice in writing to works@roundhouse.org.uk – your membership will end on the last day of the final full calendar month of your notice period. 
  • Every desk must be booked ahead of coming into the space.
  • Members need to cancel a desk if they no longer wish to use it at least 24 hours ahead of booking date. If it is not cancelled within 24 hours the day will be deducted from their plan.
  • All meeting room bookings need to be cancelled at least one hour ahead of the booking time. If not, members will be charged or credits deducted.

Code of Conduct

Whilst taking part in Roundhouse Studios projects we want you to have a positive experience and enjoyable time. To do this we ask that you are mindful of others and follow the Code of Conduct as set out below;

  • As a young person taking part in Roundhouse Studios projects, we understand you have the right to:
    • Enjoy the time you spend with us and know that you’re safe Feel welcomed, valued and not judged based on your race, gender, sexuality or ability.
    • Be listened to, treated fairly and encouraged to develop skills with our help.
    • Be involved and contribute towards decisions within the Roundhouse Studios and wider organisation.
  • As a young person taking part in Roundhouse Studios projects, we would like you to:
    • Keep yourself safe by listening to and following instructions from Roundhouse staff, behaving responsible and speak out when something isn’t right.
    • These facilities are for all of us – treat the spaces and equipment with respect and leave them as you would expect to find them.
    • Roundhouse Studios and activities are a safe space for everyone, smoking, vaping, consuming alcohol, being under the influence of substances or carrying illegal items is not allowed.

Behaviour

  • Respect and celebrate difference in the Roundhouse Studios / activities, and not discriminate against anyone else on the grounds of gender, race, sexual orientation or ability.
  • Treat staff and other young people with respect and appreciate that everyone has differences.
  • Everyone has the right to feel safe from aggressive or intimidating behaviour.
  • Report any incidents of bullying and / or harassment to a member of Roundhouse staff, even if you are just a witness.

We expect all young people to follow the behaviours set out in this Code of Conduct, if you do not meet the above expectations we may take the following measures to address the issues / concerns:

  • Verbal warnings
  • Conversations with Roundhouse staff.
  • Supporting you to leave the Studios / Works / projects.

Privacy Policy

If you take part in the Roundhouse youth programme the Roundhouse Privacy Policy applies. This overview provides information on how young people’s data is used specifically.

What information do we collect and why?

From young people using our services:

  • Name, address, postcode 
    • To identify individuals who are using our services. We can see how often they visit the Studios and what activities they take part in. This helps us make improvements, access funding and make better use of resources. It informs our programme planning. It also enables us to show we are meeting targets set by funders, in particular the Arts Council England.
  • Date of birth
    • To check age eligibility for youth programmes.
  • Medical Conditions
    • To enable us to act quickly in an emergency if someone needs first aid and is unable to easily communicate.
  • Next of kin name and contact    
    • To enable us to quickly get in contact with anyone over the age of 18 in an emergency. For those under the age of 16 accessing the Creative Studios for the first time, we also may call an emergency contact to verify consent that you can access the space. 
  • Phone number
    • So we can contact individuals by call or text for reasons such as project notices, responding to personal support requests, lost property and other day-to-day projects issues. Phone calls and text messaging are also regularly used for providing information, advice and guidance to support young people on our projects
  • Email address
    • So we can send occasional emails to let people know about programme updates and/or changes. 
  • Gender, ethnicity, disability status, access needs
    • We need information about your access requirements so that you can safely use the building and we can make that easy for you. We would also like to know about your gender and ethnicity at this stage. This is because we deliver projects that develop skills and opportunities to enable you to thrive in the arts. However we know that the creative industries is under-represented by people from Global Majority and there are gender imbalances across the sector. We want to help to change this and therefore we need to record the number of people from different backgrounds taking part in our activities. It is also a requirement of most funding bodies for us to provide this information. All data is aggregated and anonymised. There is always a prefer not to say option. 
  • Religion, sexual orientation, employability status, health conditions, neurodivergence, socio-economic background
    • For young people working with us on intensive programmes (seven or more sessions), we would also like to know other things about you. This is to help us to record the number of people from different backgrounds taking part in our activities and to address under-representation. We want all young people to feel like they belong here. All data is aggregated, anonymised and provided on a voluntary basis. There is always a prefer not to say option. 
  • School / Youth organisations
    • To ensure that we engage with young people from all Camden schools and youth organisations, we will arrange additional outreach work if we see that any school or community group is under represented. 

Who sees your information?

The only people who will see your information are employees or people contracted by Roundhouse who have been suitably DBS checked (Basic or Enhanced Children’s Disclosure and Barring Service) and trained in how to handle your information safely, securely and confidentially. 

What is the legal basis for collecting your information?

We collect information about young people with consent and we will always use it in a way that is fair and lawful under the General Data Protection Regulation 2018 (GDPR).

We collect information required for the booking and delivery of our youth services.

Note that we will not share information about you without your permission unless we are legally required to do so.
